Inside Thinking Mans Systems

Our own work. Fewer loose ends.

These are the internal workflows we use and are developing for our own client work. Small systems that keep track of conversations, decisions and follow-up dates.

/01

Inbox → next action

The follow-up desk.

A weekday review of our business inbox surfaces conversations that need a reply or a clear next step. It prepares a draft and brings it back to us for approval.

A short action list. A draft to review. Nothing sent automatically.

/02

Meeting → client history

Meeting memory that stays.

A local archive keeps available meeting notes, summaries and next steps organised by client. Full transcripts are saved when the meeting source makes them available; missing transcripts are flagged, never invented.

One client history, with source records and dated revisions.

/03

Confirmed deadline → reminder

Promises with a date.

The archive has a tested reminder layer for confirmed follow-up dates. It brings a commitment back before it is due, with the meeting context attached. Unclear dates stay for review.

Prepare early. Follow up on time. Keep the final decision human.

An illustrative follow-up · not client data

“Get back to me in 15 days.”

  1. Meeting day

Save the request and confirm the date.

  2. Day 13

Remind us to prepare, with the context.

  3. Day 15

Surface the follow-up for our approval.

Human approval before any client message. Private records stay out of this website. These are internal workflow examples, not claims of client results.

How it works

Measure. Rebuild. Measure again.

We agree what to measure before the build, then use the same method to check the result.

01

The Process Audit: 5 days, £750

We pull the real timestamps from your inbox, CRM and forms. You get a written report: median and 90th-percentile response time, the percentage of enquiries that never got a substantive reply, the manual hours spent, and an estimate of the annual cost, with every assumption shown, so you can argue with it. About 2 hours of your team's time, total.

02

The Rebuild: 3 weeks, £5,000 fixed

Every enquiry, from every entry point, gets one record and one owner the moment it arrives. Acknowledgment and first qualifying questions go out inside 5 minutes, at any hour, in your wording. Quotes draft themselves from your price list for a rep to check and send. Every sent quote gets followed up automatically until the customer replies. The £750 audit comes off the price.

03

The Proof: same measurement, run again

Four weeks after go-live we re-run the exact measurement from the audit. Before-number, after-number, side by side, in writing. Plus a a weekly report to help you spot changes in performance. If we haven't hit the targets we committed to, we keep working free until we have.

Guarantee 1: your time. The whole engagement takes under 6 hours of your team's time, in the contract. Go over, and the bill drops 20%.

Guarantee 2: the numbers. Median first response under 5 minutes and leak rate under 5%, measured exactly as in the audit, or we keep working, free, until they hold.

What we don't guarantee: your revenue. That depends on your pricing, your stock and your reps. We measure the process changes we can control.

The other side of the ledger

What we don't do

You've probably been pitched "AI automation" before. Maybe you bought some. Here's how this is different, stated as refusals:

We don't lead with AI. Most of what we build is ordinary, deterministic software because you want your quoting to do the same thing every time. AI goes where it genuinely earns its place, like reading a messy enquiry, and nowhere else. That's why our systems still work in month six.

We don't start without a baseline. If we can't measure your process before touching it, we can't prove we improved it, and neither can anyone else you'd hire. We just admit it up front.

We don't bill hourly, ever. Fixed price, fixed dates, exclusions in writing on page 5 of the audit. If it takes us longer, that's our problem.

We don't take every job. Under 20 enquiries a month, there's nothing to automate and we'll tell you so. If the audit shows your process is fine, the report says so and there's no build to buy.

We don't do 25 hours of workshops. Two touchpoints: a form and one call. You run a business; the discovery theatre is what the 6-hour guarantee exists to kill.

Who's behind this

An engineer, not an account manager.

Đorđe Milićević. Software engineer. I build production systems with monitoring, documentation and someone accountable when they break. Before this I built MVPs for startups; I moved upmarket because the more interesting problem was companies that already work, bleeding time and leads through processes they've been meaning to fix for a year.

You deal with me directly. I do the measurement and design personally, connect the systems and document how they work. The internal workflows above show the same approach applied to my own business.

Based in Serbia, working with businesses in the UK and US. Scope, responsibilities, access and handover are agreed before the build starts.

Questions you should ask

Asked and answered

What is lead response automation?+
Lead response automation captures enquiries from forms and email, creates or updates a CRM record, assigns an owner and schedules the next action. Replies can be drafted for approval or sent under rules agreed with the business. The aim is to reduce missed enquiries and manual handoffs.
Can you work with our existing inbox and CRM?+
We check your current inbox, forms and CRM during the audit. The integration depends on available APIs, permissions and data quality. The written scope names the systems we can connect and any limitations before you commit to a build.
How many of these have you done?+
The internal systems on this page are our own examples: inbox review, a local meeting archive and a tested deadline-reminder layer. They are not published client case studies. Any client results we share will be measured and published with permission.
Do you use AI?+
We use AI to interpret unstructured enquiries and prepare drafts. Routing, record updates and price calculations use explicit rules. You agree which actions need approval before anything runs.
Couldn't our IT person do this with ChatGPT?+
Yes, if they have the time and integration experience. The work includes access controls, error handling, monitoring and a measurable acceptance test. If your team can own those parts, building internally may be the right choice.
What happens to our data?+
Read-only access, only to what the measurement needs. Where it's stored, how long it's kept, and deletion on request are all in a one-page data-handling document we send before we touch anything. Nobody else sees it. The raw data behind your audit is yours to keep, whether or not we ever work together.
What does it cost to run after you leave?+
Platform charges depend on your tools and usage. We list expected running costs in the scope and bill third-party subscriptions directly to you where possible. Optional monitoring and changes after the included 90 days are £400 a month, cancellable monthly. You can also use the documentation to maintain the system yourself.
Why should we trust a supplier in Serbia?+
Start with a bounded audit, a written scope and a measurement you can check against your own records. Agree payment milestones, responsibilities and acceptance criteria before the build. You work directly with the engineer doing the work.

The next step is small on purpose

Find out what it's costing you. That's all.

Tell us which process is slowing you down. We'll confirm fit and availability.
